In this article I want to give you an insight into some of the steps we take managing passwords and access to client systems.
We at CMI like any other MSP use a tool or tools to monitor our clients networks and devices, the industry term you might for this is RMM (Remote Monitoring & Management). Our particular tool allows us, among other things, to efficiently remotely control a device to perform some sort of support task. We store our clients password information in a secure vault that all our staff need to be approved for and also require a further two factor authentication to access. No access outside of the buildings is permitted.
Our support professionals could log in and out of +30 systems a day going about their business. This can take anything up to 30-60 seconds to achieve as the support professional will need to find the right password from the client vault and then type it into the password field, if the password was super complex this could add a few more seconds. We analysed this and found we were wasting 4 days per month following this process and thought we had better address it.

As we are “Techies” as opposed to “Creatives”, internally the tool is called the ‘PSL Tool’ (Password Secure Lookup).
The future is looking good for our PSL and we have many ideas for 2018 including a client version that can supply other commonly used passwords.
